One of the Time Wasters in any company is dealing with accounting data. Many times you have two worlds you live in. The world of you business or service and the world of accounting software.
Your business tracks it’s activities either with a custom program designed for your business, but without any accounting features, or you have developed your own set of tools to manage your business.
The result is that you have to figure out some way to get the data from the daily operations into your accounting software.
So, how do people get computer programs to exchange information with there accounting program?
Typically there are two ways accounting programs provide for you interact with them. Either the data is re-entered or it is exported from one program, adjusted it a bit, then imported it into the other.
This works but it can be time consuming and error prone, which can cost a lot of Money and Time in the end.
There is an easier way!
Many accounting programs have a third (and sometimes a fourth) way of interacting with other software. These programs will supply a Software Development Kit (SDK) that allow Microsoft’s Access or Visual Studio .NET to move data from one program to another with the click of a mouse. This saves you Time and making in costly mistakes and checking the data.
Creating Additional Functionality
Another benefit to using these SDKs is that you can many times add new functionality to directly to the accounting software, that is not built in. This way you can completely integrate your accounting programs into your current Office Systems.
The Fourth Way
The fourth way of connecting to some accounting systems is by directly connecting to the database tables that holds the accounting data. This can be tricky, but when done correctly can be very powerful.
Examples of what you could do:

We can take accounts receivables data generated in one program and import it into you accounting system.

We can take the accounts receivable data in the accounting system and send it into a database on your web server to allow your customers to see their balances and to make credit card payments on your web site. We can then take the payment results and automatically move them back into your accounting system.

You could download the entire contents of the accounting system into an external database for easier reporting and viewing of data across your organization.

You could take Point of Sale data points from an external system and import them into your accounting system, either as detail entries or as summaries.
